4. Cookies and Similar Technologies
4.1 What We Use. The Service uses only strictly necessary cookies and similar technologies required for the Service to function. These include session cookies to maintain your login state and security tokens to protect against cross-site request forgery.
4.2 What We Do Not Use. We do not use advertising cookies, analytics cookies, tracking pixels, social media widgets, or any other third-party tracking technologies.
4.3 Your Browser Settings. You can configure your browser to block or delete cookies, but doing so may prevent parts of the Service from functioning properly. Because we use only strictly necessary cookies, no separate cookie-consent mechanism is required under most applicable laws.

We retain personal information in accordance with our Data Retention Policy, which is incorporated into our Terms of Service by reference. Key retention periods include:
- Account and Profile Information: duration of your active account, plus 90 days after account closure;

For full details, including provisions for legal holds and extended retention, please see our Data Retention Policy.
6. AI Processing and Your Content
6.1 How AI Processing Works. When you use AI-assisted features of the Service, your prompts and relevant User Content (such as resume text, career history, and skills) are transmitted to Azure OpenAI, a service operated by Microsoft, for processing. Azure OpenAI generates the requested Output (such as resume drafts, suggestions, and analyses) and returns it to the Service.
6.2 Data Processing Terms. Our use of Azure OpenAI is governed by Microsoft's data-processing agreements. Under those agreements, Microsoft does not use your prompts or User Content to train, retrain, or improve its foundation models. Your data is processed solely to generate the Output you request.
6.3 No Permanent Storage by AI Provider. Prompts and User Content sent to Azure OpenAI for processing are not permanently stored by Microsoft after the Output is generated, except for temporary processing necessary to deliver the response and for abuse monitoring as required by Microsoft's terms.
6.4 Your Responsibility. You are solely responsible for the personal information you include in prompts and User Content submitted for AI processing. We recommend that you avoid including sensitive personal information (such as Social Security numbers, financial account numbers, or medical information) in AI prompts unless it is necessary for the feature you are using.
7. Military Verification and DD-214 Information
Given the sensitivity of military discharge documentation, this Section provides additional detail on how we handle DD-214 information, supplementing the commitments in Section 14 of our Terms of Service and Section 5 of our Data Retention Policy.
7.1 Collection. We collect DD-214 or similar documentation only when you voluntarily submit it to request military verification through the Service.
7.2 Redaction. Before uploading, you should redact your Social Security number and any other sensitive identifiers that are not required for the verification decision. We are not responsible for sensitive information you include in an uploaded document that could have been redacted.
7.3 Use. DD-214 documentation is used solely to evaluate your military verification request. It is not used for marketing, analytics, AI model training, or any purpose other than making and communicating the verification decision.
7.4 Access Controls. While held for review, DD-214 documentation is stored using encryption at rest (AES-256 or equivalent) and in transit (TLS 1.2 or higher). Access is restricted to personnel and systems directly involved in the verification workflow through role-based access controls.
7.5 Deletion. Immediately upon the verification decision being made, whether approved or denied, the uploaded DD-214 document is permanently deleted from our systems, including from active storage.
7.6 What We Retain. After deletion of the DD-214 document, we retain only: (i) the verification outcome (approved or denied); (ii) the date the request was submitted; (iii) the date the decision was made; and (iv) the identity of the reviewer or reviewing system. These records are retained for the duration of your active account plus 12 months after account closure, for fraud prevention and compliance purposes.
7.7 Communication. Verification-related emails (such as decision notifications) are sent through Azure Communication Services. These emails contain the verification outcome but do not include the DD-214 document or its contents.
8. Security
We implement administrative, technical, and physical safeguards designed to protect your personal information against unauthorized access, alteration, disclosure, or destruction. These measures include:
- encryption of data at rest and in transit;
- secure key management through Azure Key Vault;
- role-based access controls limiting access to personal information to authorized personnel;
- network security measures including firewalls and intrusion detection;
- regular security assessments of our infrastructure; and
- contractual data-protection obligations on our service providers.
No method of electronic transmission or storage is completely secure. While we strive to protect your personal information, we cannot guarantee absolute security.
9. Your Rights and Choices
Depending on your location and applicable law, you may have some or all of the following rights regarding your personal information:
9.1 Access. You may request a copy of the personal information we hold about you.
9.2 Correction. You may update your account and profile information at any time through the Service. You may also request that we correct inaccurate personal information.
9.3 Deletion. You may request deletion of your personal information by emailing support@gabetech.tech or closing your account. Deletion is subject to the retention periods and exceptions described in our Data Retention Policy (for example, we are required to retain payment records for 7 years for tax compliance).
9.4 Data Export. You may request a copy of the User Content stored in your account in a commonly used, machine-readable format, as described in Section 24 of our Terms of Service.
9.5 Opt Out of Sale or Sharing. We do not sell your personal information or share it for cross-context behavioral advertising, so there is no sale or sharing to opt out of.
9.6 Non-Discrimination. We will not discriminate against you for exercising any of your privacy rights.
9.7 How to Submit a Request. To exercise any of these rights, contact us at support@gabetech.tech. We will verify your identity before processing your request, which may require you to confirm information associated with your account. We will respond within the timeframe required by applicable law or, where no specific timeframe applies, within a reasonable period.
9.8 Authorized Agents. Where permitted by applicable law, you may designate an authorized agent to submit a request on your behalf. We may require the agent to provide proof of authorization and may still require you to verify your identity directly.
