Data Retention Policy

This Data Retention Policy ("Policy") describes how Gabe Technologies LLC, a Florida limited liability company ("Gabe Career," "Gabe Technologies," "we," "us," or "our"), retains, stores, and deletes information collected through the Gabe Career website, applications, tools, features, content, and related services (collectively, the "Service"). This Policy is incorporated into our Terms of Service by reference.
Capitalized terms used but not defined in this Policy have the meanings given to them in the Terms of Service.
1. General Retention Principles
We retain personal information and other data only for as long as reasonably necessary to fulfill the purposes for which it was collected, provide the Service, comply with legal obligations, resolve disputes, and enforce our agreements. When information is no longer needed for any of these purposes, we delete or de-identify it in accordance with this Policy.
The retention periods described below begin on the applicable trigger date (for example, the date of account closure or the date a verification decision is made) and represent the maximum period we will ordinarily retain the relevant data category unless a legal obligation or active dispute requires longer retention.
2. Data Categories and Retention Periods
The following table summarizes our standard retention practices by data category. Sections 3 through 10 below provide additional detail for each category.

3. Account and Profile Information
3.1 What This Includes. Registration information such as your name, email address, and login credentials, as well as any profile details you provide through the Service.
3.2 Active Accounts. We retain this information for the duration of your active account.
3.3 After Account Closure. When you close your account or we terminate it, we retain your account and profile information for up to ninety (90) days to allow for account recovery, address any pending billing or support matters, and comply with legal obligations. After this period, we delete or de-identify the information unless longer retention is required under Section 11.
4. User Content
4.1 What This Includes. Resumes, career documents, uploaded files, prompts, and other materials you create, upload, or store through the Service, as defined in the Terms of Service.
4.2 Active Accounts. We retain your User Content for the duration of your active account. You may delete individual items of User Content at any time through the Service where that functionality is available.
4.3 After Account Closure. Following account closure, we retain User Content for up to ninety (90) days under the same conditions described in Section 3.3, after which it is deleted or de-identified.
4.4 Data Export. Before closing your account, you may request a copy of your stored User Content as described in Section 24 of the Terms of Service. We recommend exporting your data before account closure.
5. DD-214 and Military Verification Documents
5.1 What This Includes. DD-214 forms and similar military-service documentation uploaded through the Service for the purpose of military verification.
5.2 Limited Purpose. These documents are used solely to evaluate your military verification request. They are not incorporated into your general account records and are not used for any purpose other than making the verification decision.
5.3 Security During Review. While held for review, DD-214 documents are stored using encryption at rest and in transit, with access limited to personnel and systems directly involved in the verification workflow, as described in Section 14.3 of the Terms of Service.
5.4 Deletion After Decision. Whether the verification request is approved or denied, the uploaded DD-214 or similar document is permanently deleted immediately upon the verification decision being communicated to you.
5.5 What We Keep. After the DD-214 document itself is deleted, we retain only the following verification-related records: (i) the verification outcome (approved or denied); (ii) the date the verification request was submitted; (iii) the date the verification decision was made; and (iv) the identity of the reviewer or reviewing system. These records are retained for the duration of your active account plus twelve (12) months after account closure to support fraud prevention and compliance.
6. AI-Generated Output
6.1 What This Includes. Suggestions, drafts, analyses, recommendations, summaries, and other Output generated by the Service and stored in your account.
6.2 Retention. AI-generated Output stored in your account is retained for the duration of your active account and for up to ninety (90) days after account closure, consistent with Section 4. Transient Output that is not saved to your account, such as in-session suggestions that you do not store, may not be retained beyond the session.
7. Payment and Billing Records
7.1 What This Includes. Transaction records, subscription history, invoice data, billing dates, amounts charged, refund records, and payment-method identifiers (such as the last four digits of a card number). We do not store full payment-card numbers unless expressly stated otherwise in our Privacy Policy.
7.2 Retention. Payment and billing records are retained for seven (7) years from the date of each transaction to comply with tax, accounting, and financial-reporting obligations under applicable law.
8. Customer Support Records
8.1 What This Includes. Communications between you and Gabe Career through email, in-product support tools, or other support channels, including any attachments or related notes.
8.2 Retention. Support records are retained for two (2) years from the date of the last communication in the support interaction. If a support interaction relates to an active dispute, legal matter, or ongoing investigation, the records may be retained longer as described in Section 11.
9. Usage and Analytics Data
9.1 What This Includes. Information about how you interact with the Service, such as pages visited, features used, session duration, device and browser information, and IP addresses.
9.2 Retention. Identifiable usage and analytics data is retained for up to twenty-four (24) months from the date of collection. After this period, the data is either deleted or aggregated so that it no longer identifies you. Aggregated data may be retained indefinitely for product improvement and analytics purposes.
10. Server Logs
10.1 What This Includes. Automated system logs generated by our servers, which may include IP addresses, request timestamps, error codes, and other technical data.
10.2 Retention. Server logs are retained for up to ninety (90) days from the date of creation for security monitoring, debugging, and incident-response purposes, after which they are deleted.
11. Extended Retention
Notwithstanding the retention periods set forth above, we may retain specific data for longer than the stated period where retention is required to:
- comply with a legal obligation, subpoena, court order, regulatory inquiry, or government request;
- preserve evidence related to an active or reasonably anticipated legal dispute, investigation, or claim ("legal hold");
- enforce our Terms of Service or investigate violations; or
- protect the rights, property, or safety of Gabe Technologies, our users, or the public.
When extended retention is no longer necessary, the data will be deleted or de-identified in accordance with this Policy.
12. Account Closure and Deletion Requests
12.1 Voluntary Closure. You may close your account at any time through your account settings or by contacting support@gabetech.tech. Upon closure, the retention periods described in this Policy begin.
12.2 Deletion Requests. You may request deletion of your personal information by emailing support@gabetech.tech. We will process your request within a reasonable time, subject to our need to retain certain information as described in Sections 7 and 11 and to verify your identity before acting on the request.
12.3 Effect of Deletion. Once data is deleted under this Policy, it cannot be recovered. We recommend exporting your User Content before requesting deletion or closing your account.
13. Termination by Gabe Technologies
If we terminate your account under the Terms of Service, the same retention periods and deletion practices described in this Policy apply, beginning on the date of termination.
14. De-Identification
Where this Policy refers to de-identification, it means removing or altering personal identifiers so that the remaining information cannot reasonably be used to identify you, either alone or in combination with other available information. De-identified data is not subject to this Policy.
15. Security
We use administrative, technical, and physical safeguards designed to protect retained data against unauthorized access, alteration, disclosure, or destruction. For additional detail on our security practices, please see our Privacy Policy.
16. Changes to This Policy
We may update this Policy from time to time. When we do, we will post the updated Policy and revise the Effective Date above. For material changes, we will provide notice as described in our Terms of Service. Your continued use of the Service after the updated Policy becomes effective constitutes your acceptance of the revised Policy.
